Senior Executive Assistant Position

Fluency in spoken and written English is required for this full-time remote position.

We are seeking a Senior Executive Assistant to provide professional and punctual support to company executives and senior managers in various activities, including administrative tasks, office management, and more. Your responsibilities also include scheduling meetings, making travel arrangements, and organizing daily agendas.

We expect you to be proactive, meet deadlines, and communicate effectively. Previous experience as an Executive Assistant and familiarity with office management technologies are preferred. Additionally, you should be able to understand and meet the needs of senior executives and help ensure the smooth workflow of the company.

The responsibilities of the Senior Executive Assistant include:

  • Assist in communication between executives, clients, or internal staff.

  • Coordinate the professional and personal daily schedules of senior managers.

  • Assist in planning appointments, events, travel arrangements, among others.

  • Prepare regular reports and update internal databases.

  • Organize phone calls and emails.

  • Respond promptly to managers’ requests.

  • Organize internal communication, including activities such as information distribution and presentation scheduling.

  • Develop suggestions to optimize office management and solve problems.

  • Review company policies and develop recommendations for improvement.

The requirements for the Senior Executive Assistant are:

  • 5 years or more of experience working as a Senior Executive Assistant, Executive Administrative Assistant, or in a similar position.

  • Significant experience in managing office procedures and working with confidential corporate information.

  • Strong practical experience with office management systems, ERPs, and MS Office.

  • Good experience in using office equipment such as computer proficiency and related technologies.

  • Sound knowledge of cloud systems, online calendars, and other related solutions.

  • Strong organizational and time management skills with a proactive mindset.

  • Excellent communication and interpersonal skills.

  • High school diploma or equivalent; professional qualifications such as Personal Assistant or Secretary will be considered a bonus.
